The Payroll Administrator is responsible for accurately and timely processing weekly union payroll for a construction workforce of up to 400 Union Employees. This role verifies the accuracy of submitted timesheets daily, then enters the timesheets manually for weekly payroll processing. After processing payroll each week, the role will also contribute to submission of union dues, data entry of new hires, and preparation of manual checks when required.

Job Summary

The Accounting Assistant Manager supports the accounting department by performing a variety of financial, payroll, and administrative tasks to ensure accurate and timely processing of financial information. This role assists with payroll processing, union remittances, audit preparation, account reconciliations, and resolving discrepancies while maintaining compliance with company policies and applicable regulations.

Key Roles & Responsibilities

• Process and assist with weekly payroll, ensuring accuracy of wages, deductions, and employee records.

• Prepare and submit union remittances, including dues, benefits, and related reporting requirements in accordance with union agreements.

• Gather and prepare financial records and supporting documentation for union and governmental audits, including federal, state, and local reviews.

• Assist with internal and external audit preparation by compiling documentation, schedules, and supporting financial records.

• Review financial transactions and reports to identify discrepancies or irregularities.

• Investigate and resolve payroll, invoice, and account discrepancies in a timely manner.

• Maintain accurate financial records and documentation in accordance with company policies and accounting standards.

• Reconcile general ledger accounts, payroll accounts, and vendor statements.

• Assist with accounts payable and accounts receivable processing as needed.

• Prepare journal entries and assist with month-end and year-end closing procedures.

• Generate financial reports and summaries for management review.

• Maintain confidentiality of financial and employee information.

• Provide administrative support to the accounting team and assist with special projects as assigned.

• Any other duties or tasks assigned by Payroll Accounting Manager or management.

Qualifications

• 2+ years of prior experience with payroll or data entry strongly preferred.

• Associate’s degree in accounting or finance; or related field experience required.

• Familiarity with compliance requirements for union, state, local, and federal audits preferred.

• Strong attention to detail with ability to identify and resolve discrepancies efficiently.

• Knowledge of construction payroll practices including job costing and prevailing wage

• Excellent organizational and communication skills, and handle sensitive information with discretion.

• Prior experience with payroll systems (Deltek ComputerEase, ADP, Workday) a plus.

• Strong proficiency in Microsoft Excel and Microsoft Office

• Familiarity with multi-union environments preferred, but not required.

• Must be able to commute to Bensalem, PA at least three (3) days per week, including Wednesdays.
