Position Summary
The Executive Administrative Assistant is a hybrid role that provides both high-level administrative support and strategic coordination to the CEO. This position ensures the CEO’s day-to-day operations, priorities, and commitments are efficiently managed, while also assisting with select cross-functional initiatives that require organization, follow-through, and confidentiality.
The role supports the CEO across a mix of professional, operational, and personal business matters, requiring exceptional professionalism, judgment, attention to detail, and discretion.
This position will work closely with Chief Operating Officer, Ed DeAngelis. Ed DeAngelis is a recognized thought leader in emotionally intelligent leadership and organizational culture. Job Responsibilities
Executive Administrative Support
• Manage a complex and dynamic executive calendar; prioritize requests aligning with CEO priorities.
• Coordinate all travel arrangements, itineraries, meeting logistics, and personal schedule requirements.
• Prepare, review, and organize documents, presentations, and communications for internal and external meetings.
• Screen and prioritize incoming communications, escalating issues that require CEO attention.
• Manage expense reports, invoices, and reimbursements for both corporate and personal matters.
Chief of Staff Support
• Serve as an internal liaison between the CEO and the executive leadership team.
• Assist with coordinating and tracking CEO-driven initiatives and follow-ups.
• Lead as a partner with internal staff, current and prospective customers, and board members always with EDA’s Mission, Vision, Values and Leadership Standards
• Prepare briefing materials, agendas, and notes for key meetings, ensuring clarity on next steps.
• Help manage special projects, cross-functional tasks, and organizational communications.
• Support the CEO in maintaining alignment across priorities, deadlines, and commitments.
Confidential Personal Business Support
• Assist with personal scheduling, appointments, and coordination with external service providers.
• Handle sensitive personal documents, financial materials, and logistics with utmost confidentiality.
• Support personal tasks that affect the CEO’s bandwidth and availability.
• Support efforts related to philanthropic partners, boards and organizations.
Communication & Coordination
• Draft emails, notes, and updates on behalf of the CEO with a consistent and professional voice.
• Coordinate with internal departments, external partners, Board members, clients, and vendors.
• Prepare weekly summaries and briefing information to keep the CEO informed and prepared.
• Serves as main point of contact for Public Relations internal and external matters, in conjunction with internal Marketing, Communications, Public Relations partners.
Operational & Organizational Support
• Support planning and logistics for executive meetings, Board meetings, leadership offsites, and company events.
• Maintain up-to-date organizational systems, processes, and tools for the CEO’s office.
• Track high-priority tasks and ensure timely completion by relevant stakeholders.
Qualificiations
Education & Experience
• Bachelor’s degree preferred; equivalent experience considered.
• 7+ years of experience supporting senior-level executives in an Executive Assistant, Chief of Staff, or Operations role.
• Experience handling confidential personal and professional matters for an executive is strongly preferred.
Skills & Competencies
• Exceptional organizational and time-management skills.
• Strong business acumen and the ability to understand executive-level priorities.
• Outstanding written and verbal communication skills.
• Highly professional presence with strong judgment and discretion.
• Ability to anticipate needs and proactively resolve issues.
• Comfortable multitasking in a fast-paced environment with shifting priorities.
• Proficiency with Microsoft Office Suite, scheduling tools, and project management programs.
